These terms cover your use of Easycoliv for Operators, the operator workspace of Easycoliv, where property owners, operators and agents publish rental listings and answer tenant enquiries.
About these terms
Easycoliv for Operators is run by Easycoliv. In these terms, "we" means Easycoliv Portal and "you" means the person who signs up, together with any business you set up or join in the workspace.
By creating an account or signing in, you agree to these terms. Our Privacy notice explains how we handle personal data, and our Cookie notice lists the cookies we use.
Your account and team
You sign up and sign in with a one-time code sent by email. There is no password. Keep your phone and email account secure, because anyone who can read the code can open your account.
One login can run several businesses. Each business has team roles: owner, admin, manager, staff and read-only. The owner decides who is invited and with which role, and is responsible for what the team does in that business.
You must have the authority to act for the business you set up and to publish the properties you list.
Listings and review
You are responsible for your listings: the description, address, map pin, rooms, prices, availability and photos must be accurate and must describe a property you are allowed to let.
Easycoliv staff review every new listing before it goes live, usually within 24 hours. We may reject or pause a listing, for example for unclear photos, contact or payment details in the listing, a misleading price, a wrong address or pin, missing or misleading details, a duplicate, prohibited or discriminatory content, an agent posing as an owner, or a risk of fraud.
- We remind you when a listing's availability has not been confirmed for 14 days and pause it at 45 days. Listings kept up to date by the API or a feed in the last 7 days are exempt.
- Reports from several different visitors can pause a listing until our staff review it.
- Uploaded photos are resized and re-encoded, and their location data is removed. Near-duplicate photos are rejected.
You let us show your listing text and photos on Easycoliv, and use them to run and promote your listings, for as long as the listing is published.
Enquiries and tenant data
Tenants enquire free, and every enquiry is verified with a one-time code before it reaches your lead inbox. When you open a lead you see the tenant's name and contact details.
Use a tenant's details only to answer their enquiry about your property, and handle them in line with the data protection law that applies to you. Do not add tenants to marketing lists without their consent.
Open leads with no activity for 180 days are closed as lost. 180 days after a lead is closed, its message text is removed.
Plans, billing and tax
The first business on each account gets Pro features free for its first 12 months (Launch Free); a business added to the account later starts on the Free plan. After the free year, a business can stay on the Free plan or buy Pro or Business. Current prices are on the pricing page.
- Businesses in India pay in Indian rupees plus 18% GST, through Razorpay by UPI, card or net banking, and receive a GST invoice.
- Businesses in other countries pay through Stripe in US dollars, or in their local currency where we list a local price. Indian GST is not charged on these invoices, and the business accounts for any local tax (reverse charge where applicable).
- Card, UPI and bank details are handled by Razorpay or Stripe. We do not receive or store them.
- Each payment buys one year of the plan. Paying again for the same plan before the year ends adds a year to the current end date. A payment during the free first year starts the paid year when the free year ends, so no free days are lost.
- A renewal costs what you paid last time; we announce any price change at least 30 days before your renewal.
- When checkout is closed, the billing page says so. Nothing is charged, and the free year or the current plan carries on.
- Promo codes apply only within their own dates, plans and redemption limits.
We send renewal reminders 60, 30 and 7 days before a paid year ends, and on the day it ends. If a renewal is not paid, the plan is past due for 3 days. The business then moves to the Free plan, so new listings and the API follow the Free plan limits, and 14 days after the paid year ended, listings above the Free plan limit are paused, newest first.
While a renewal is not paid, we remind the business owners and admins by email on the first, second and fourth day after the paid year ended. We do not keep cards or charge renewals automatically: the business pays the renewal itself after a reminder. If we offer automatic renewal later, it will be an option the business chooses at checkout.
Cancelling and refunds
The business owner can cancel a paid plan at any time. The cancellation takes effect at the end of the paid year, when the business moves to the Free plan. A cancelled plan can be resumed before then.
We give a full refund on request within 7 days of payment. After that there is no refund, as the plan runs for a year. To ask for a refund, contact the Easycoliv support team.
Verification
Verification is optional. You can submit a business document (for example a PAN or GSTIN, an EIN, a UK company number, a Canadian Business Number, a UAE trade licence, a Singapore UEN, an Australian ABN or ACN, or an EU VAT number) for our staff to review. An approved review earns the Verified badge. We may reject a request, and one document can verify only one business.
The document number is stored encrypted until the review is decided and then deleted. The Privacy notice explains what is kept.
API keys and webhooks
API keys act for your business within the scopes you give them. Keep keys and webhook signing secrets private, rotate them if they may have leaked, and revoke keys you no longer use. Requests are rate-limited by plan.
Webhooks are sent to the addresses you set. Lead events carry ids and statuses, not the tenant's contact details.
Acceptable use
Do not use Easycoliv for Operators to:
- list a property that does not exist, is not available or is not yours to let;
- publish discriminatory, misleading or unlawful content;
- put phone numbers, email addresses or payment details in a listing;
- get around sign-in limits, rate limits, review or other security checks;
- access another business's data without being a member of that business.
Suspension and closing an account
We may suspend a business, pause its listings or block a person from signing in when these terms are broken or to protect tenants. We record the reason.
You can stop using the workspace at any time. To close your account or have your personal data erased, contact the Easycoliv support team. The Privacy notice explains what erasure removes and what we must keep.
Changes to these terms
We may update these terms when the service changes. The date at the top of this page shows the latest version.
